Privacy Policy

What Pulse Accounts is

Pulse Accounts is the shared sign-in service behind every Pulse Systems product (PulseMDT, PulseTickets, PulseGuard, PulseConvert, Pulse RP, PulseFeedback, and others). When you sign in with Discord through any of those products, the sign-in itself happens here, and this policy covers the identity and account data that Pulse Accounts specifically holds. Each product's own privacy policy covers the data that product collects once you're signed in.

Information we collect

When you sign in with Discord, we receive and store your Discord ID, username, avatar hash, and email (if Discord provides one and you've verified it). We also request Discord's guilds scope to cache a snapshot of the servers you're in (server name, icon, whether you own it, and your permission bits) so connected products can show relevant servers without a separate Discord round trip; this snapshot is refreshed periodically and is never a live feed of your Discord activity.

We also store: your sign-in count and timestamps; active sessions and personal access tokens you've issued; which Pulse products your account is linked to; a marketing-email preference; a Discord auto-join preference (see below); and, if you participate in it, your referral code, referral history, and any partner-program status. If a product you use is billing-capable, we may hold a reference to your payment processor's customer ID so that product can look up your billing state, but Pulse Accounts itself does not process payments or store card data.

Your Discord OAuth access and refresh tokens are used once, at the moment you sign in, to fetch the profile and guild data above, and are never written to a database, logged, or returned to any product. This is a hard architectural rule, not just a policy statement.

Discord server auto-join

By default, signing in with Discord also adds you to the official Pulse Systems Discord server, using the same one-time access token described above. If this results in you actually joining (not if you're already a member), we send you a one-time Discord DM confirming it and linking back to this page. You can turn this off from your account's Preferences page at any time; once off, future sign-ins will not attempt to join you, and turning it off does not remove you from the server if you've already joined.

How we use information

We use this information to authenticate you, issue and validate sign-in tokens for every connected product, show you which products and servers you've linked, operate the referral program, prevent abuse, enforce account bans and self-service freezes, and provide support.

Cookies and sessions

Pulse Accounts uses signed, httpOnly session cookies to keep you signed in and to protect the sign-in flow itself. Pulse Accounts does not run advertising or third-party analytics scripts, and does not set advertising cookies.

Pulse Accounts counts page visits with PulseInsights, Pulse Systems' own analytics. It records which page was opened, which site linked to it, screen size, language, and browser and device type. It sets no cookies, does not give visitors an ID or follow them to other sites, and the data is never sold or shared. Turning on Do Not Track in your browser switches it off. Sign-in links and other secret codes in page addresses are removed before anything is sent.

Sharing

We share the minimum identity claims a product needs (your Pulse account ID, Discord ID, display name, and avatar) with that product when you sign in there, and, on request, with the moderation-facing APIs those products use to check whether you belong to their own Discord server. We share data with Discord only as needed to complete the OAuth sign-in and, if enabled, the auto-join described above. We may share limited data with hosting, database, and monitoring providers strictly to operate the service, or when required by law.

Your controls

From your account's Security and Preferences pages you can review and revoke individual sign-in sessions, sign out of every product at once, freeze your own account if you believe it's been compromised, export a copy of your account data, toggle marketing email and Discord auto-join, and permanently delete your Pulse account. Account deletion removes your Pulse Accounts identity, linked sessions, and personal access tokens; it does not reach into and delete data any individual product (like a PulseMDT case record or a PulseTickets transcript) already stored on your behalf there - see that product's own privacy policy for how to request deletion of its data.

Retention

We keep account data for as long as your account exists, plus a limited window afterward for security, fraud-prevention, and audit purposes. Session and personal-access-token records are kept only while active or recently revoked.

Payments and billing

If you buy a plan, the payment is sold and handled by Link, a Stripe company, acting as the reseller. Link and Stripe collect your name, email, billing address (used to work out sales tax or VAT) and payment method under their own privacy policies (Link, Stripe); we never receive or store full card numbers. Pulse Accounts stores your Stripe customer ID and, for each plan, the plan name, status, renewal date and whether it is set to cancel, so products know which limits apply. Billing records (invoices and payments) are kept as long as tax and accounting law requires, which can be longer than your account exists; you must cancel any paid plan before deleting your account.

Your privacy rights

Wherever you live, you can see, export, correct or delete your account data with the tools on this site or by emailing us, and we answer within 30 days.

EU, EEA and UK. Under the GDPR you have the right to access, correct, delete, restrict or object to the use of your data, to receive it in a portable format, to withdraw consent at any time, and to complain to your data protection authority. We use your data to provide the service you asked for (contract), to keep it secure and prevent abuse (legitimate interests), to keep billing records (legal obligation), and to send optional marketing email only if you turn it on (consent).

California and other US states. You have the right to know what personal information we hold, to correct or delete it, and to not be treated differently for using these rights. We do not sell your personal information or share it for cross-context behavioral advertising, and Pulse Accounts shows no ads.

Your data may be processed in countries other than yours, including the United States, by us and by the services we rely on (such as Stripe and Discord).

Security

We use scoped tokens, short-lived sign-in grants, and access controls to protect your account, but no service is perfectly secure. Never share your session cookies, personal access tokens, or sign-in links with anyone.

Children

Pulse Accounts is not directed to children under 13, and Discord itself requires account holders to be at least 13. Do not use Pulse Accounts if you do not meet Discord's own minimum age. Buying a paid plan requires being 18 or older, or a parent or guardian's permission.
